How We Scope a Project: From First Call to Fixed Price

What actually happens between your first message and a signed proposal — and why we price every engagement as one fixed number instead of billing by the hour.

The question we get most often, before anything about ERP or automation, is simpler: how does this actually work, and what’s it going to cost? Here’s the honest version.

Step one: tell us what’s slowing you down

You reach out through the contact form or WhatsApp, and we reply within a working day. There’s no sales script here — we ask what’s actually happening in your business today: what tools you’re using, what’s manual, what’s breaking down as you grow. This first call is free and comes with no obligation, because we’d rather find out early that we’re not the right fit than take on a project that doesn’t make sense for either side.

Step two: one proposal, one fixed price

After the call, you get a single written document: what we’ll build, how long it will take, and the price — fixed, not hourly. We don’t bill by the hour, because hourly billing puts the risk of scope uncertainty on you. A fixed price puts that risk on us, which means we have every incentive to scope carefully and build efficiently, not to stretch the clock.

If your current systems and spreadsheets need reviewing before we can price something accurately — which is common for ERP work — we do that review before the proposal, not as a surprise mid-project.

Step three: build in short cycles

Once you sign off, we work in short cycles rather than disappearing for months and reappearing with a finished system. You follow progress on a staging link and see the system take shape before launch, which means surprises get caught early, when they’re cheap to fix, rather than at the end, when they’re not.

Step four: launch, with support already in place

The system goes live with your data and your name on it — not a demo environment we hand over later. Support is part of the proposal from the start, not a pitch we make after you’re already dependent on the system, so there’s no gap between “the build is finished” and “who do we call now.”
